JOB POSITION – Church & School Administrator (Full-Time/Exempt) | St. John’s, Chaska

JOB SUMMARY:
The Church & School Administrator (C&SA) is responsible for managing the administrative affairs of St. John’s Lutheran Church & School. The C&SA is a member of the Ministry Leadership Team (MLT) and the Executive Council Executive Team (ECET). The Administrator is a full-time, salaried position, averaging 40+ hours per week, and is benefit eligible.

- Is a Christian, committed to the work of the Church
- Has experience in Church & School Administration
- Maintains a high level of confidentiality Is detail orientated and has a high level of accuracy and consistency
- Ability to work with staff & volunteers
- Possess leadership and supervisory/management skills
- Accounting training and experience
- Human Resource Management experience
- Database management training and experience preferred
- Experience with fund accounting and database management systems (Shelby Systems experience preferred)
- Knowledge of Stewardship & Development
- Knowledge of Building Operations
- Knowledge of Human Resources
- Bachelor’s degree in business, finance/accounting or related field
- Must complete and pass a thorough background screening

ORGANIZATIONAL STRUCTURE:
This position reports to the Executive Council. Annual review by the Board of Personnel with input from appropriate staff and boards. Primary staff resource for the Board of Trustees, Board of Personnel, Board of Public Relations, Board of Stewardship. This position will supervise the Communication Associate, the Membership Associate, the Financial Associate, the School Associate, and the Facility Manager.

AREAS OF RESPONSIBILITY:
Leadership & Administration – Approximately 20% of time
- Be the primary point of contact for staff and volunteers to coordinate workflow
- Oversee Associates duties and responsibilities, adjusting as needed to the job duties
- Attend weekly staff meetings to ensure that the business needs of the church and school are understood and met
- Attend monthly Executive Council meetings to ensure that the business needs of the church and school are understood and being met
- Work closely with the Senior Pastor, Principal and other ministry staff to ensure that the vision and mission of the church and school are accomplished.
- Help the congregation adopt administrative policies and procedures that will help it carry out the mission of the Christian congregation.
- Have authority to recommend changes to the positions and employees under his/her direct supervision.
- Schedule extended periods of time for study, preparation and planning to develop and maintain a deep level of spiritual growth.

Financial Management & Development – Approximately 30% of time
Contributions
- Coordinate a team of volunteers to assist with contribution processing
- Oversee the contribution processing procedures for timeliness and accuracy
- Prepare and mail statements to contributors
- Answer questions regarding statements

School Accounting
- Oversee with school principal tuition rates and payments

General Accounting
- Oversee Accounts Payable
- Create account journal entries for recurring and ACH transactions
- Ensure invoices are properly approved and documented
- Review and sign checks

Payroll
- Gather accurate time records from all personnel
- Coordinate payroll processing with third-party vendor
- Coordinate the documentation necessary for new hires
- Enter payroll data into the general ledger system

Reporting & Budgeting
- Reconcile bank & investment accounts
- Prepare monthly financial statements
- Prepare reports for the Executive Council, Treasurer, Finance Team and Staff
- Assist with creating annual budget
- Coordinate and assist in the annual audit

Human Resource Management – Approximately 20% of time
- Oversee Human Resource Management
- Review and implement employee benefits and coordinate the enrollment process
- Assist in budgeting for compensation and benefits
- Administer the personnel policies in conjunction with the Board of Personnel
- Maintain necessary personnel records

Stewardship & Development – Approximately 10% of time
- Oversee Stewardship & Development
- Work with the Board of Stewardship on giving initiatives, programs & policies
- Understanding of alternative giving tools such as Donor Advised Funds, QCDs and appreciated assets
- Track and report progress and results of Stewardship appeals

Communications Management – Approximately 10% of time
- Oversee the communication needs of the Church & School
- Oversee communication policies and methods with Communications staff

Data Management – Approximately 5% of time
- Oversee the Membership database structure and integrity
- Oversee data entry volunteers
- Coordinate needs and requirements with the technical team

Property – Approximately 5% of time
- Oversee property needs including repairs and maintenance scheduling
- Manage Property and Liability Insurance
- Review budget needs and allocations
- Building and grounds security
- Oversee facility scheduling

COMPENSATION/JOB DETAILS:
Pay: $80,000.00 – $100,000.00 (Annual Salary)
Days/Hours: M-F 8:00am – 4:30pm with occasional evenings/weekends as needed.
